Qualifications: Energy Policy and Regulatory Affairs is seeking an energetic, self-starter to join its busy regulatory affairs department as an Executive Assistant. The successful candidate must have the following qualifications: * A minimum of an Associate s Degree; Bachelor s degree preferred. * A Minimum of 3-5 years work experience in administrative support activities. * Must be able to work well in a team environment or independently. * Must demonstrate initiative and exercise discretion in coordinating projects, reports and information flow. * Must be proficient in MS Word, Excel and PowerPoint, with the ability to create charts, graphs, and spreadsheets, prepare PowerPoint presentations and create electronic databases. * Demonstrated ability to use online systems such as Oracle or similar financial system * Must be detail-oriented with good analytical skills and ability to handle multiple tasks and projects with competing priorities and deadlines efficiently. * Must have effective listening, verbal and written communication skills, with the ability to communicate effectively and handle internal and external contacts professionally with tact and sensitivity. * Must be disciplined and have excellent time management skills. * Must have strong interpersonal skills as well as exemplary follow-up skills and ability to work effectively with employees at all levels including demonstrated ability to work well with peers to schedule meetings in a timely manner with other executives * Must be adaptable to frequent changes in workload and willing to work overtime, with little or no notice, when business needs dictate. * Excellent communication skills both written and verbal.
Responsibilities: Executive Assistant will report directly to the Vice President of Energy Policy & Regulatory Affairs. The position supports the administrative needs of the Vice President and Directors of the department and the department as a whole. The Executive assistant will be responsible for routine administrative functions, such as arranging all aspects of meetings with internal and external people, making travel arrangements as requested, processing and assuring payment of invoices, and monitoring overall expenses. The Successful applicant may also be responsible for formatting of PowerPoint slides, reports and other documents; attending to computer and telecommunication needs; assisting with on-boarding of new employees; and ordering supplies for the department. This position requires strong attention to detail, especially as it pertains to composing and proofing written communications, supporting the needs of the Vice President and Directors, and more generally of the department. Successful candidates must have a strong sense of accountability and responsibility. Additional responsibilities include: * Providing administrative support to the Vice President and Directors of the Energy Policy & Regulatory Affairs (EPRA) Department staff to include: assembly of briefing materials, maintaining and updating calendars, scheduling and coordinating regular and ad-hoc meetings and briefings to prepare for external meetings, as needed, as well as all logistics related to meeting scheduling. Also responsible for resolving and referring a range of administrative needs and inquiries. * Processing payments for invoices as well as making travel arrangements, as requested. This includes using Oracle and other systems for tasks that include: generate and receipt requisitions, confirm invoices and gain needed approvals, create new supplier requests, verify P-Card transactions, and other transactions as may be required. Also includes using online travel systems, ensuring all travel logistics are arranged, and development of expense reports related to all travel, as required. * Assisting in organizing and maintaining corporate files (electronic and paper files), including searching, retrieving, and scanning documents as required and maintaining information related to various meetings. * Filling the role of department records coordinator and contact person for managed conference rooms. * Scheduling meetings and arranging conference rooms; alert Vice President about cancelations or new meetings needed. * Working closely with EPRA and other staff to ensure timely provision of materials related to meetings involving the Vice President. * Preparing confidential and sensitive documents and maintaining confidentiality with respect to all correspondence in all aspects of EPRA s work. * Reviewing, proofreading, and editing documents developed for the Vice President s signature. * Maintaining and monitoring the inflow and outflow of office supplies goods, arrange for repair and maintenance of office, computer and telecommunications equipment. Receiving, storing and maintaining inventory of office supplies and equipment, and sending, receiving and sorting mail and other packages as required. * Keeping track of NYC, NYS and Federal meetings and generate lobbying reports, as required, for review and approval. * Interacting with corporate staff, external parties as needed, and customers. * Performing occasional research. * Developing and maintaining systems that alert the Vice President and EPRA related to pending matters and upcoming deadlines. * Performing other related tasks and assignments, as assigned.
The Executive Assistant will also ensure implementation of Company safety, health and environmental programs for employees whose work is directed.
