Reporting to the Assistant Dean for Admissions & Student Affairs, the Admissions & Student Affairs Administrator provide a range of support activities for the application, admissions, and acceptance process as well as for new student orientation. The Administrator will also provide advising, problem solving and services to students at the College of Dental Medicine (CDM.)

The Admissions & Student Affairs Administrator is responsible for handling a full set up activities in support of the admissions cycle at the College of Dental Medicine. Specific responsibilities include: review of submitted applications to determine completeness and readiness for review; circulation and tracking of disposition of applications; responding to, resolving or appropriately referring inquiries from prospective students; preparation and maintenance of admissions portal used by students and faculty; coordination and support of interview process; staffing admissions committees; handling all admissions disposition correspondence including acceptance letters; scheduling new student orientation, compliance training, and other service coordination as part of student onboarding process.

The Admissions & Student Affairs Administrator is responsible for providing a full set of support services for CDM students, including: providing answers to student service inquiries; effectively and efficiently referring students to information sources or student service offices; providing guidance to students on how to navigate student service processes; problem solving or facilitating resolution for a student service issue that is complex and/or not progressing toward timely resolution; providing a specific set of information, referral, and facilitation regarding international student services; developing materials and identifying resources in response to identified needs; providing Student Affairs meeting support and event support.

In addition to admission and student affairs administrative activities, the Administrator will also provide administrative support to deans, faculty and senior staff in the Admissions & Student Affairs Office, including: staff support for various committees; scheduling of dean, faculty and staff calendars; processing of expense reimbursements and provision of travel support through various administrative tasks.

Minimum Qualifications for Grade

Requires a bachelor's degree or equivalent in education and experience, plus three years of related experience, preferably in a Higher Education setting.

Customer engagement experience, specifically with university students

Excellent verbal and written communications skills; the incumbent must have the ability to think and write clearly and to edit material accurately

Conflict negotiating skills, ability to use judgment in determining if and when a situation must be referred or escalated

Dealing with highly confidential student records, discretion is required

Working with various constituents in a highly diverse environment: Faculty, Administrators, Students, Deans

Experience in systems setup and maintenance; interface with web-based systems to track student applications, documentation, and to communicate with prospective students

Must be able to work under pressure and meet deadlines; possess the ability to handle multiple projects simultaneously; to prioritize tasks while maintaining responsibility for timely execution

Must have proven problem solving skills

Must have strong organizational skills to establish workflow processes

Must be proficient in business software applications (Excel, Word, PowerPoint, Outlook e-mail, Outlook calendar, etc.)
