CIT Facilities Specialist in New York, New York

Work closely with the AVP of Facilities to support facilities activities in NYC. Act as first point of contact for internal and external customers seeking support and information from the Facilities department. Manage training rooms, initiate work orders for 11 West and 505 Fifth Ave on behalf of employees & subtenants and maintain office records. Prepare invoices for payment, monitor and track expenses for budgeting purposes, and resolve billing discrepancies. Provide subtenant billing information to Real Estate Department in a timely manner. Perform daily walkthrough of occupied floors in NYC office; address any outstanding issues by coordinating with vendors, local resources and AVP of Facilities. Coordinate and manage employee moves, update floor plans and corresponding documentation on a weekly basis. Assist with on-boarding new vendors and updating existing vendor requirements through Vendor Management. Under the supervision of the AVP of Facilities, manage outside contractors in support of the Facilities Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support. Assist the AVP of Facilities in all aspects of project implementation as needed. Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments. Supervise and train facility employees and contractors as needed. Oversee handyman /matron personnel to ensure all tasks are completed in a timely manner. Provide administrative support to the AVP of Facilities and the Facilities organization and other facilities related responsibilities as assigned.
Associate’s degree is preferred, or 3-5 years relevant experience in corporate facilities or property management role. Strong organizational, problem solving and multi-tasking skills, the ability to work well in a fast-paced environment, proficiency in basic computer skills and use of Microsoft Office, understanding of floorplans and space management, superior communication skills and customer service. Individual must demonstrate a strong work ethic, ability to comfortably communicate with executive staff, flexibility and resilience. Experience managing vendors is preferred.
