Job Description

We’re looking for a rock-star Administrative Assistant to join the Product Group. This Administrative Assistant will support the Head of Product and Design on day-to-day tasks that help keep the department running smoothly. It is critical that you have a “roll up the sleeves and get it done” attitude. You will need to be able to be a multitasker, organized, helpful, proactive and excited to be part of an important brand.

Responsibilities :

Detail Oriented and Organized: There will be multiple tasks on a daily basis that will be part of this person's responsibilities. Some include, and are not limited to: updating the department phone list regularly, scheduling conference rooms and conference calls, monitoring and refilling Xerox machines, preparing and organizing monthly expenses, scanning and filing documents, making copies and collating decks for executive meetings, distributing mail and daily newspapers, assisting with sending daily packages, organizing supplies, etc.

Collaborative : You will need to be comfortable working with various other departments throughout the organization as well as other administrative assistants. You will be asked to do things such as assisting with the onboarding process and acting as liaison between the Marketing Team and facilities to ensure a smooth process.

Computer Literate : You will be asked to assist with Powerpoint Presentations including, maintaining department org chart for the Finance team. It is important you can learn internal systems easily in order to assist with tasks such as onboarding new employees to The Times.

Event Execution: You will assist on Special projects with different teams within marketing. You will plan lunches and special events for the consumer revenue team. You will work with HR on event logistics.

Qualifications :

Must have working knowledge of Gmail and Gsuite.

Must have working knowledge of Microsoft office, including PowerPoint and Excel.

Ability to schedule appointments and assist with calendar.

Ability to problem solve and make suggestions for improvements.

Ability to learn new systems and software.
