Sony/ATV Music Publishing is seeking to fill the position of Administrative Assistant in our NY office. The assistant will have daily administrative responsibilities to the CIO/ Sr. Vice President of IT and the IT department in General. The preferred candidate will have prior business education and/or business experience, preferably within an IT department.

The assistant will have the following responsibilities:

  • Daily support to the CIO/ VP and the IT department
  • Coordinate and schedule internal and external meetings
  • Answer & screen telephone calls and incoming mail, publications and other correspondence
  • Produce spreadsheets and presentation materials, etc. from verbal direction or from knowledge of organization policy and procedures in an accurate and efficient fashion
  • Coordinate and process invoices: liaise with vendors and accounts payable to research and resolve billing and payment inquiries as needed, process invoices on SmartSearch database, maintain invoice filing system
  • Coordinate and manage filing systems
  • Prepare and compile reports, primarily in Excel
  • Maintain CIO's daily calendar and contact list
  • Make travel and lodging arrangements
  • Complete expense reports
  • Set up and maintain pending and permanent files that may contain confidential information
  • Maintain time-off schedule and records
  • Monitor music emails for technical quality
  • Order supplies and beverages for the IT and Finance Departments
  • Back-up assistant to other senior executives as necessary
  • Assist in projects as needed
  • Perform other related duties as assigned

  • A minimum of 2 years administrative assistant experience required, preferably in an IT Department
  • College Degree Preferred
  • Computer systems literate - proficiency in the use of MS Word, Excel, Powerpoint, and Outlook
